Our client, a leading national business law firm in downtown Toronto, is seeking a Legal Assistant to join its Competition, Trade & Foreign Investment group on a 14-month contract (maternity leave coverage, running to approximately early 2028). This is a rare chance to support a specialized, high-profile practice. The work spans international trade matters, regulatory filings and proceedings before federal tribunals and courts.
This role suits a proactive, detail-driven legal assistant who enjoys a fast pace and wants to add a niche practice area to their experience.
Duties & Responsibilities
- Provide high-level administrative and legal support to several lawyers in a specialized regulatory and trade practice
- Monitor and manage lawyers’ inboxes so nothing falls through the cracks on active files
- Coordinate calendars, meetings, room and AV bookings, catering, agendas and travel
- Support trade-related proceedings before federal border and trade authorities, tribunals and appellate courts, including:
- Preparing and formatting documents to meet strict procedural rules
- Working with lawyers and government bodies to track procedural and administrative requirements throughout each case
- Coordinating with clients to gather information and complete filings
- Submitting filings to the relevant authorities under a lawyer’s supervision
- Serve as a reliable point of contact for clients and internal and external stakeholders
- Draft, format, finalize and distribute correspondence and documents, working with document production resources as needed
- Open new matters, including client intake research, and maintain organized electronic files
- Handle billing: follow up on missing time, edit pre-bills, prepare invoices, verify fees and disbursements, and answer client account questions
- Assist with business development, including presentations, pitch materials, lawyer bios and CRM updates
- Support lawyers’ firm leadership and external board roles
- Respond to and follow up on audit letter requests
What We’re Looking For
- 3+ years of experience as a legal assistant or in a professional services environment
- College diploma in legal, office or business administration, or an equivalent combination of education and experience
- Experience in competition, international trade, customs or regulatory work is a strong asset
- Comfort with procedural filing requirements and strong drafting and proofreading skills
- Excellent organization and the ability to juggle shifting priorities
- Advanced proficiency with standard office software and document management systems
- A collaborative team player who takes ownership of their work
Salary range: $57,000 – $72,000
Location: DT Toronto
Hybrid – 4 days on site
