Our client, a leading national business law firm in downtown Toronto, is seeking a seasoned Practice Assistant to support a highly regarded partner in its Privacy & Data Protection group. This partner is recognized as a leader in the field and runs an extremely busy, fast-moving practice. That calls for a seasoned professional who can step in quickly, take ownership and keep everything on track.

Duties & Responsibilities

  • Provide high-level support to a senior partner with a demanding, high-volume practice
  • Lead the full billing cycle, including high-volume docketing, reviewing and editing pre-bills, and finalizing invoices
  • Work closely with the accounting team on billing, write-offs, collections and client billing requirements
  • Monitor work in progress and outstanding accounts, and flag issues to the partner proactively
  • Manage the partner’s inbox and calendar, anticipating priorities and keeping the partner ahead of deadlines and key developments
  • Act as a polished, trusted point of contact for clients, colleagues and outside parties
  • Draft, format and finalize correspondence and documents with a high degree of accuracy
  • Open new matters, coordinate client intake, and keep files organized in the document management system
  • Coordinate meetings, travel and business development activities, including presentations and pitch materials
  • Handle sensitive client and firm information with complete discretion

What We’re Looking For

  • 6–7 years of experience as an executive or legal assistant in a law firm, supporting a busy partner
  • Strong, hands-on billing experience, including high-volume docketing, pre-bills and invoice finalization
  • Experience working directly with accounting or finance teams
  • Exceptional judgment, common sense and discretion
  • A proactive, resourceful approach: you spot what needs doing and make sure it gets done
  • Outstanding organization and attention to detail in a fast-paced environment
  • Advanced proficiency with standard office software, document management systems and legal billing platforms
  • Privacy, regulatory or technology law experience is an asset

Salary range: $75,000 – $90,000

Location: DT Toronto

Hybrid – 4 days on site
